What Treso Bills does

One inbox for every bill

Email, upload or scan. Invoices are read line by line, matched to a vendor, checked against bills you already have, and parked for approval with the PO and receiving ticket beside them.

  • OCR with vendor, amount, due date and line detail
  • Duplicate detection across number, amount and date
  • Three-way match against purchase orders and receipts

Approval rules that read like your policy

Amount bands by location and category decide the chain: the location manager up to their limit, then the controller, then the owner. One person per step; the chain is snapshotted when the bill is submitted, so a reorg never reopens history.

  • Rule editor: amount × location × category → approvers
  • Bulk submit, approve and void from the list
  • Accept match variances with a reason

Payment runs that respect cash

Build a run from what's due, preview blockers and discounts, and schedule it against the cash plan. Early-pay discounts are captured automatically; vendors who take virtual cards earn the practice interchange on its own payables.

  • ACH, check and virtual card
  • Cash-aware scheduling with suggested dates

Vendors, purchase orders and par levels

A real record per vendor: contacts, W-9 and 1099 status, payment methods under dual control, documents and a portal link that shows them remittance status. Purchase orders, a supply catalog and par levels per location keep the ordering side honest.

  • Vendor portal (read-only) for remittance status
  • POs with partial receiving; catalog and par-level grid
  • AP aging, 1099-NEC, vendor spend and contract renewals

How it posts to the ledger

An approved bill posts the expense lines (debit, by location) against accounts payable. Paying it posts AP against cash; an early-pay discount nets the payment and credits the bill's main expense line. Voiding an approved bill posts a reversing journal rather than deleting anything.

Who uses it

Roles

  • Office manager (inbox)
  • Location manager (approvals)
  • Controller (runs, 1099s)
  • Vendors (portal)

Permissions carry a location scope and an approval limit. The same limits apply to agents acting in this module.

Questions

Questions

How do bills get into Treso?

Forward them to your practice's AP address, upload PDFs or photos, or let a vendor send to the inbox directly. Recurring bills can be created on a schedule.

Can we pay vendors who don't take cards?

Yes: ACH and check are part of every run. Virtual card is offered where the vendor accepts it, and it earns the practice interchange.

What does the vendor see?

A read-only portal with the status of their invoices and payments. No login to manage: it's a signed link you can revoke.

Is bill pay really free on Core?

Core includes bill pay funded by interchange on virtual card payments. Per-payment fees for ACH and check apply on paid plans as shown on the pricing page.
